Board Meeting Schedule Notice

Dear Texas Grand Ranch Property Owners,

We hope this letter finds you well. The Board of Directors (Board) for the Texas Grand Ranch Property

Owners' Association (POA) wanted to take a moment to share an important update regarding our

meeting schedule and the steps we are taking to enhance transparency within our community.

Here is a brief overview of the new meeting schedule:

1. Monthly Virtual Meetings:

   • Meetings will be conducted online (via Zoom), providing a platform for residents to join from their home or office.

   • Meetings will occur during business hours to allow the inclusion of our Management Company (IMC) and our legal partners.

   • The virtual format will allow for increased flexibility, enabling a broader participation from our diverse community.

   • The board will answer only questions submitted prior to the meetings. Live Q&A will be reserved for the in-person meetings.

2. Quarterly In-Person Meetings:

   • Meetings will take place once every quarter, providing residents with face-to-face interactions and the chance to engage directly with the Board.

   • Meetings will be an excellent opportunity to discuss matters of importance, share ideas, and build a stronger sense of community spirit.

   • The board will host open question & answer sessions as we have in the past.

This adjustment is a significant departure from the previous year, during which we held four open meetings. We aim to foster a stronger sense of community engagement and conducting 12 meetings annually, offers more frequent opportunities for residents to participate and gain insights into the topics and decisions impacting our community.

By offering a variety of meeting formats, we hope to accommodate the diverse preferences and availability of our residents. Additionally, all meeting minutes, relevant documents, and meeting recordings will be made available to ensure that those who cannot attend can still stay informed. Your input and participation are crucial to the success of our community, and we encourage you to actively engage in these meetings. We value your feedback and look forward to working together to make our community an even better place to live.

Notices for these meetings will be sent out in accordance with the state law and the community’s governing documents. Please be on the lookout for the February notice coming soon.
